EPF Registration Online

Online EPF registration for the employers is essential to get the EPFO code. There is no offline registration now. It is made online at the epfindia.com. This post guides employers to register online. The EPFO has launched a dedicated unified Online Registration of Establishment portal known as OREL portal. The new process which came into effect from December 2015 requires employers to upload the digitally signed documents.

The EPF registration is mandatory for the companies or firms which employ more than 20 people. This includes permanent as well contractual employees. Smaller firms with employees less than 20 can also register voluntarily if they wish. If a company’s strength is more than 20, the registration should be done within one month. The delay attracts penalties. Hence, all the companies with more than 20 employees should follow this process of EPF online registration. Co-operative societies should register if the employee strength is above 50 or 50. All the registered companies are under the purview of the EPFO rules.

How to Register & Apply for EPF Code

Follow the step-wise procedure for EPF registration and application for establishment code allotment.

Step – 1 Registration

Visit the site https://unifiedportal-emp.epfindia.gov.in/epfo/ which is a dedicated server for employer’s code allotment. Click on ‘Application for Employer Registration’. Complete all the details required in the online form. Submit the form and you will be creating a unique login id and password for all your future logins. The details will include the name, address, and PAN details. It will also include the legal entity of your firm. Complete the EPF registration as a first step towards EPF code application.

If you are already a registered firm, just use your login id and password and start DSC registration.

Step – 2 DSC Registration

Once you complete the registration, DSC registration will be required. EPFO has made it mandatory for the employers to register their digital signature. Login and open the homepage and proceed as below.

  1. Select the tab for ‘Digital Signature’ from the horizontal top menu.
  2. Select the option ‘Register Certificate.’
  3. You will get a prompt on the screen with employer’s details. It will show employer’s name and mobile number.
  4. Verify the name. Edit it if you wish and click on the ‘Next’ button.
  5. Select the type of Digital Certificate.
  6. After you select the USB token button, a pop-up will show up. Click on ‘Run.’
  7. Click on the USB digital certificate which appears on the screen now.
  8. Enter PIN details of your DS and click ‘OK’.

A message for successfully registered DSC will be on the screen now. Confirm it and proceed with ‘Apply for code’.

Step 3 – Apply for EPF Code

This is the final step of the EPF registration. After successful DSC Registration, go ahead by selecting the tab ‘Apply for Code’. Select the option for ‘fill up the application form’. Fill up the form carefully as it cannot be edited later. Give the PAN number of the proprietor if the firm is proprietorship. In other cases, the PAN of the company should be given. The filled up form can be saved partially for continuing later but within 30 days. After completing the form, submit it. You will get a preview of the form to review it properly. Preview of the form is significant as it will show all the errors in the form one by one. Hence, make sure that the Pop-up blocker in your PC is off.

Take a print out of the form and ‘save’ it. Now upload the relevant documents with DSC. After reviewing the form, get PIN on your mobile. Give confirmation for the correctness of the data and complete the registration process.

During the above process of EPF registration, an application number will be generated. Preserve this number for future correspondence. The documents to be uploaded will include passbook, proof of address, and the list of employees. PAN copy, balance-sheet, and certificate of incorporation are other required documents.
